Privacy & cookies

Your information,
treated carefully.

This notice explains what we collect, why we use it, who receives it and the choices available to you.

Who is responsible for your information

The Watercolour Atlas, operated by John Crosland in Cambridge, United Kingdom, is the data controller for information collected through this website. Questions or privacy requests can be sent to sales@thewatercolouratlas.com.

Information we receive

When you contact us, we receive the details you provide, such as your name, email address, project location and message. For purchases, we receive your name, email, optional telephone, delivery address, a separate billing address if supplied, order contents, PayPal payment reference and status, fulfilment and tracking information, and any referral source supplied with your visit. Checkout attempts are recorded separately from paid orders. PayPal processes the payment itself; we do not receive or store your full card details.

We maintain a customer record for confirmed purchasers to manage order history and support. You can buy without creating an account. If you separately opt in to The Watercolour Atlas mailing list, we collect the date and source of consent, the version of the consent wording you accepted, and your subscription or unsubscribe status. Buying alone does not subscribe you.

Why we use it

We use enquiry details to respond before entering into a contract and for our legitimate interest in managing customer relationships. We use order and delivery information to perform our contract with you. We retain transaction information where necessary to meet tax, accounting and other legal obligations. We send Atlas emails only when you have given explicit consent. You can withdraw that consent at any time using the unsubscribe link in every email. We use optional website measurement only with your consent. We do not sell your personal information or use it for automated decision-making.

Who receives it

Subscriber, customer and order records are stored with the website hosting service. We use Resend for order and dispatch messages, internal order notifications, enquiries, subscriptions and newsletters. Resend receives the recipient and message details needed to deliver them. We share other information only where necessary with providers involved in payment through PayPal, print production, framing and delivery, and with professional advisers or public authorities where legally required.

International transfers

Some technology and payment providers, including Resend, may process information outside the United Kingdom. Where UK data-protection law requires it, the provider must use an approved transfer mechanism and suitable safeguards. You can contact us for further information about the providers used for your order or subscription.

How long we keep it

Enquiry records are normally kept for up to two years after the last contact, unless they become part of an order or an ongoing relationship. Order, payment and accounting records are normally kept for six years after the relevant financial year. Active subscriber records are kept while you remain subscribed. After you unsubscribe, we retain a minimal suppression record so we can respect your preference and demonstrate that consent was withdrawn. Website measurement data is kept according to the retention settings applied in Google Analytics. Information may be retained longer where a dispute, legal claim or statutory obligation requires it.

Your rights

Depending on the circumstances, you may ask for access to your personal information, correction, deletion, restriction, portability or an objection to its use. Where processing relies on consent, you can withdraw it at any time without affecting earlier lawful processing. Email sales@thewatercolouratlas.com. We may need to confirm your identity and will normally respond within one month.

Complaints

Please contact us first so we can try to resolve a concern. You also have the right to complain to the Information Commissioner’s Office, the UK data-protection regulator.

Cookies and local storage

The shop uses essential browser storage to remember items placed in your basket and your privacy choice. This is necessary for features you request and cannot be switched off through the consent panel. We ask permission before loading Google Analytics, the Meta Pixel or the Pinterest Tag. If accepted, these services help us understand page visits and interactions, measure advertising and create relevant audiences; if rejected, they are not loaded and their measurement events are not recorded.

With optional measurement accepted, Pinterest receives page and category visits, selected product IDs, basket and checkout activity, and confirmed order references, quantities, currency and values. We do not add names, email addresses or delivery details to these events. Pinterest may use browser and cookie identifiers for measurement and relevant advertising; see Pinterest’s privacy policy. Pinterest cookies on our domain are cleared when you reject optional measurement. Cookies on Pinterest’s own domain are controlled by Pinterest and your browser settings.

You can change your decision at any time using the “Privacy choices” button shown at the bottom of the site. You can also delete stored website data using your browser settings. PayPal may use its own cookies or similar technology when you leave our site to review and pay for an order.

Keeping information secure

We use access controls and reputable service providers, limit the information collected, and restrict order and enquiry records to authorised administration. No internet service can guarantee absolute security, but we take reasonable steps appropriate to the information we handle.
